X Marks The Spot will work closely with you to understand your needs and turn them into reality through Consultation, Research and Planning beforehand and On the day management of the treasure hunt.
Research
Research
begins on acceptance of the booking form by X Marks The Spot. This includes
desk research into the chosen location and the development of clues in draft
form.
Any further details
of the company relevant to the treasure hunt are gathered at this time, plus
any desired accommodation arrangements.
On
the day management
A typical
treasure hunt starts with the facilitator briefing the group after breakfast
or lunch. Where previously agreed, an overview is given of team dynamics and
the behaviours which individuals are likely to adopt in a team situation.
The teams are then formed based on the results or other pre-determined criteria.
Each team is provided
with a set of rules, written clues, blank answer sheet, pencils, map and other
items that will help them during the hunt. Where previously agreed, each team
may be assigned an independent observer to discreetly record team behaviour
and interaction during the hunt.
The teams are set
a time by which to return. The facilitator may make spot checks on the groups
during the course of the hunt.
When time is up,
each team submits their answers and break for food/drinks while the answer
sheets are marked or do their own answer marking with the facilitator. Later,
any observers feed back their observations on team interaction and participants
add their feedback.
The facilitator
shares some tips on how the event might have been tackled, reveals the answers,
announces the winners and awards prizes.
Planning
X Marks
The Spot make a reconnaissance visit to the location to gather further information,
check clues, answers, timing and viability.
Hotels and restaurants are also visited at this stage if necessary and local
transport and hire arrangements are confirmed. A typical site visit lasts
3 full days.
On return, production
of the treasure hunt materials is completed and support staff arrangements
for the treasure hunt are finalised. An event timetable is prepared and prizes
acquired if necessary.
Consultation
We work with
you in partnership throughout to ensure you get a treasure hunt that fits
your business need.
During our initial consultation we capture your main objectives and agree an outline brief by determining:
Why?
The purpose of the treasure hunt, e.g. celebration, personal development,
incentive.
Who?
The participants, how many, their profile, how they will be formed in teams;
any requirements you have for observers or further facilitators.
When?
The likely date for the event and its duration.
Where?
The location and venue, the transport, accommodation, meal and prize requirements.
What?
The approach, e.g. serious, fun, relaxed, competitive; the budget; any special
needs you may have.
How?
The fit of the treasure hunt with other activities; the structure of the treasure
hunt and clues.
We then produce a quote for the agreed level of service and make any further adjustments you require.
If acceptable, you then complete a booking form based on the revised quote so that Research can begin.
